TranscribeAI ("we", "us", "our") is the data controller for personal data we collect through the TranscribeAI service. This Privacy Policy explains what data we collect, why we collect it, how we use it, and your rights.
1. Data we collect
- Account data: email address and encrypted password.
- Usage data: minutes transcribed, transcripts you create, plan usage.
- Content you upload: audio, video, YouTube URLs, and the transcripts generated from them.
- Support data: messages you send to our support team.
- Technical data: IP address, browser type, device identifiers, basic analytics events.
- Cookies: essential cookies for authentication and optional analytics cookies (managed via the cookie banner).
2. Why we collect it (purposes & legal basis)
- To provide the service (contract): account creation, transcription, storage, AI summaries.
- To secure the service (legitimate interest): fraud prevention, abuse detection.
- To improve the product (legitimate interest): aggregated analytics.
- To support you (contract): responding to your requests.
- To comply with the law (legal obligation): tax, fraud, regulator requests.
3. Who we share data with
- Subprocessors: hosting (Cloudflare, Supabase), AI transcription (Deepgram), AI summarization (Lovable AI Gateway), email delivery providers.
- Paddle.com Market Limited, our Merchant of Record for payments, subscription management, billing, tax compliance, and invoicing. Paddle is a separate data controller for payment data — see Paddle's privacy policy.
- Optional integrations you choose to connect (Slack, Notion, Google Docs, Zapier) receive only the data you actively send to them.
- Authorities when required by law.
4. Data retention
We keep your account data while your account is active, and your transcripts until you delete them or close your account. After account closure we delete or anonymise personal data within 90 days, except where we are legally required to retain it (e.g. invoices for tax purposes).
5. International transfers
Some of our subprocessors are located outside the EEA / UK. Where this is the case we rely on Standard Contractual Clauses or adequacy decisions to protect your data.
6. Your rights
Subject to your local law, you can request to:
- Access the personal data we hold about you
- Correct inaccurate data
- Delete your data ("right to be forgotten")
- Restrict or object to certain processing
- Receive your data in a portable format
- Withdraw consent at any time
- Lodge a complaint with your local data protection authority

7. Security
We use industry-standard technical and organisational measures: TLS encryption in transit, encryption at rest, access controls, audit logs, and regular security reviews.
8. Cookies
We use a small number of cookies: essential cookies for authentication, and optional analytics cookies that help us understand product usage. You can manage your preferences via the cookie banner on first visit.
9. Changes to this policy
If we make material changes we will notify you by email or in-app notice. The "last updated" date at the top reflects the most recent revision.
